Four ways an AI-powered CRM can support your advancement team’s daily work

Spend less time preparing, documenting, and reporting—and more time with donors
November 2, 2026, By Adam Owenz, Senior Director, Advancement Technology

When I worked in advancement, I often found myself speaking with someone who clearly had a history with my institution, while I was still trying to piece together the context. Who had they met with? What had they discussed? Having that information readily available would have helped me make the most of those conversations.

Finding donor context is just one task that can consume valuable staff time. The extra time it takes to prepare for meetings, document conversations, and pull reports all adds up across an advancement team. An AI-powered CRM can help reduce that burden within everyday workflows—in a way that experimenting with ChatGPT can’t.

Here are four ways an AI-powered advancement CRM like Navigate360 can help your team reduce administrative, time-consuming tasks, giving you more time to build relationships with donors.

As advancement leaders consider how AI could support their teams’ daily work, questions about accuracy, protecting donor information, and preserving human judgment often come up—and those deserve careful attention. EAB’s approach to responsible AI emphasizes supporting staff expertise and adopting new capabilities with accountability. 1. Get up to speed on donor history faster

You are about to meet with a donor that has a long-standing relationship with your institution. Before your meeting, it’s important that you learn what has kept them connected to your school and the causes they’ve expressed interest in supporting. While contact reports can hold much of this context, it takes too much time to go through years’ worth of these notes and find the information you’re looking for.

Rather than sorting through contact reports manually, AI brings this data together into a usable, actionable summary. It can also help you explore specific follow-up questions you may have, such as how a donor’s interests may relate to a new initiative or giving opportunity. These features allow you to prep for each meeting faster and go into them more informed.

2. Access donor information and capture updates on the go

You are on the road and have an unexpected encounter with a donor. In conversation, they vaguely refer to a discussion they had with one of your institution’s deans. It would be helpful to know what exactly they were referencing, but you don’t have your laptop in front of you.

With an AI-powered CRM accessed on your phone, you can ask for the relevant context instantly. A natural language query can pull contact reports that match a key word or phrase, helping you find the information you need quickly, wherever you are. Mobile access also makes it easier to preserve what you learn. After a call taken in transit or an on-site meeting, you can dictate a recap and have AI transcribe it while the details are fresh. This helps keep the relationship record current for both you and your team.

3. Build reports without needing specialized technical knowledge

You are trying to build a report, but you aren’t sure where to start. You end up needing to reach out to a colleague—maybe someone in IT, or a “super user” who has expert knowledge on your CRM—to build out the report for you. What started as a simple question that a report could answer now has taken days or weeks to resolve.

With an AI-enabled report builder, you can describe the information you need in plain language, such as a list of donors who supported a particular scholarship or program in the past year. You can then review the results and refine your request without needing to know how to configure the report yourself. This gives staff more direct access to data, with less reliance on someone else to handle routine reporting requests.

4. Connect with more donors

Your team has found a large group of donor contacts all with invalid email addresses. Updating their information could reopen an important line of communication, but contacting each person individually takes extra time your staff may struggle to find.

This time-consuming outreach becomes simplified with the introduction of AI engagement agents. For example, an agent could text donors to request an updated email address and respond to their replies. This gives your team a way to reach more people while preserving staff time for conversations that require personal attention. With current contact information, you can invite those donors back into relevant communication streams and engagement opportunities.

These scenarios may be hypothetical, but they reflect challenges I recognize from my own time in advancement, and tasks I would have welcomed help with. When your time is taken up by manually piecing together donor histories, documenting meetings, or waiting on reports, you have less bandwidth for the work that matters.

The Navigate360 Advancement CRM supports this work with built-in AI. With donor summaries, meeting documentation, AI agents, and reporting assistance in one platform, staff can spend less time on mundane tasks and more time with donors. Because software is nothing without great support, all Navigate360 Advancement CRM partners also have a dedicated strategic leader who helps train teams and put AI to use in their existing workflows.
